General FAQ

1. Can I get grants on ngohub.asia? 

You can if :

  • You are registered as an organisation (individuals can’t apply for grants)
    • All organisation data has been filled in
    • Organisation registration form uploaded (ROS)
    • Organisation has been established for more than 1 year
    • Organisation logo/photo is uploaded

2. How does the ngohub.asia grant system work?

  • ngohub grants are given in non-monetary form - instead of money, you can choose from a list of items:
    • refurbished computers
    • printers
    • fire extinguisher (4KG)
    • first aid kit
    • banquet table
    • school stationary package (bag, pencil case, colour pencil, stationary set)
    • water container
    • office stationary package (files, papers, stapler, puncher)
    • plastic chair
    • book shelves
    • white boards
    • stand fan
    • wardrobe
    • single bed (frame)
    • single mattress
    • double decker bed (frame)
  • Grants will be given out every 2-3 months.
  • Grants will be publicised on ngohub.asia for two weeks, encouraging contributions & private donations. If nobody contributes to your grant application, your grant request will be transferred to the competition system with other applying projects.
  • Each round, 7-9 judges will choose projects with highest impact and biggest value.
  • Grants requests that are not chosen, will be eligible to apply again in the next grant cycle.

3. Why should I update my NGO events on ngohub.asia?

  • The more you use the platform, the more impact it will have - ngohub.team is trying to promote each event publised on the portal and reach out to more individuals, volunteers and potential partners for your organisation. 
  • Other organisations and individuals will notice publicised events and might share it on their pages which will lead to more visibility and you will be able to reach volunteers and donors faster.

4. How do I get volunteers via ngohub.asia?

  • Only registered organisations have the opportunity to list volunteering and staff positions.
  • Once an interested volunteer applies for your position, you will get their contact details and application form
  • ngohub.asia does not conduct interviews for your organisation, this has to be done by each NGO individually 

5. Why does ngohub.asia need all this information about my organisation?

  • We are building a platform of trustworthy organisations; as such we will verify each NGO member through meet-ups and with a mission to support NGOs that are transparent and trustworthy in their work.
  • Not all the data you will register on ngohub.asia will be published on the website. We will keep your data safe and will only publish data that is important for volunteers and donors to see, such as:
    1. Name of the NGO
    2. Short description
    3. Year established
    4. Sector
    5. Name of the person in charge
    6. Address
    7. Email
    8. Website

6. How do I know that my data is safe on ngohub.asia?

  • To protect against spammers, we allow 10 views of organisations per day, per registered user.
  • Individuals that are not registered on the platform will be able to see just the short description of your NGO.
  • In less than a month from registering, ngohub.asia’s admin team will download your data and file it on our personal database where it will be kept securely and not shared with third parties.

Donor FAQ

1. How do I find projects to donate to?

  • All NGOs registered (complete profile) on ngohub.asia can apply for grants during the application period (2 weeks). The application period will be announced on our website.
  • After the applications have been verified and approved, they will be listed on the Grants section of the website.
  • Browse through the various projects, and donate/contribute to any that interest you.

2. How do I donate / contribute to the grant?

  • Login to the website as an individual user (You need to register as an individual first).
  • Browse through the various projects listed on the grants section, and pledge to any that interest you by clicking on "Contribute".

3. How will my donation will be acknowledged?

  • Your name will be listed on the project page, under Donors.
  • Once you click on "Contribute'', an email will be sent to the ngohub.asia team and the project owner (NGO) with your contact details
  • The project owner (NGO) will contact you directly so you can agree on details of the donation

4. Is my donation amount publicly acknowledged?

  • No. The amount will not be published on the website.
  • You can communicate with the project owner (NGO) directly about your donation 

5. Can I cancel a donation?

  • Yes, you can. Though we strongly discourage from canceling your donation. Do contribute only when you are sure that you can fulfill your donation or sure this is the cause you want to contribute to.

6. Can I donate / contribute by cash instead of items?

  • No. We do not accept donations in cash. You can help NGOs with items such as:

7. Can I contribute to more than one project?

  • Yes, you can contribute to any number of projects.

8. Is there a time limit for me to fulfill my donation?

  • Yes. All individual donations must be done before the beginning of a next cycle.

9. Who is responsible to send the donated items to the NGO?

  • The responsibility lies solely with the donor to send the items to the NGO as agreed individually.

 

Grant Applicants FAQ

1. How do I apply for a grant?

  • Only fully registered organisations on our platform qualify for the grant: 
    • You are registered as an organisation (individuals can’t apply for grants)
    • All organisation data has been filled in
    • Organisation registration form (ROS) is uploaded
    • Organisation has been established for more than 1 year
    • Organisation logo/photo is uploaded
  • To apply, login as an organization. Go to ‘My Hub’ page, click the ‘add new’ button and choose ‘grants’.
  • Fill in the details of your project and click ‘save’.

2. What kind of grants are available to apply for?

3. Can I submit more than one project?

  • No. Only one project will be considered from one organization.

4. Who will fund my project?

  • There are two possible ways for your project to get funded. During the donation period, private donors can choose to support your project by contributing any amount (minimum RM 50, and maximum RM 5.000) in the form of physical items listed on your project page.
  • If by the end of the donation period, you have no donors or you only have a partial contribution from private donors, your project will be entered into the grant selection process.
  • The sucessfull grant recipients will either receive the full grant or the remaining items that were not contributed by private donors.

5. Once my project enters the grant selection process, what is the judging criteria?

  • Judging will be done by a panel of judges from ngohub.asia and 7-Eleven. Below are some of the criteria judges will consider in selecting the winners of the grant competition:
    1. Organisation background
    2. Well planned / managed project
    3. Impact of project
    4. Creativity
    5. Feasibility
    6. Urgency
  • All decisions by the judges are final and non-disputable.

6. What information should I put on my project page?

After visiting your project page, donors should have a clear sense of:

  • What it is you are trying to do 
  • How you will do it 
  • The  people in your team 
  • How far along your project is

The more information you share, the more you will earn your donor’s trust.

7. What if a private donor does not fulfill their contribution?

  • Although unfortunate, it is possible that a private donor may not fulfill their donation. Your project will then be postponed to the next grant application period. 
  • Once they donate, the donors have 2 weeks to communicate with you about their contribution. Timelines and delivery logistics should be agreed upon within this timeframe. In case of a donor not fulfilling the donation without a good reason, we will deactivate his/her account.

8. How often can I apply for the grant?

  • Our grant application process is open every 3 months.
  • Each organization is allowed to receive a maximum of RM 5.000 per year.(e.g. if an organisation applied during one grant cycle for items for the amount of RM 2.500 and received the donation, is eligible to apply again in the next cycle up to the amount of maximum RM 2.500).
  • Any organisation that has won a full grant amount (RM 5.000) will need to wait for the next calendar year to apply for the grant again. However, all organisations may apply again to receive a donation from private donors.
